Abstract submission:

Abstract submission deadline: 21st June, 2021

Abstract length: Website submissions are limited to 3.000 characters. (only plain text, no figures, no formulae…)

Note: All abstracts must be submitted via E-MRS website at www.european-mrs.com

Submitting abstracts via the E-MRS is very easy and convenient. Follow the step-by-step instructions on the template, making sure that complete mailing address information is included for the presenting and contact authors. After submitting your abstract, please use the given Control ID number in all communications with E-MRS regarding the abstract UNTIL a paper number (e.g., A 8) is assigned. After that date, any change must be submitted to: emrs@pw.edu.pl (Subject: Abstract Revision) and must include your Control ID number. Please state exactly where the revisions are located (e.g., title, author, body, etc)

Authors will be notified of acceptance and the mode of presentation of their paper by July 5th, 2021.

 

Conference time zone:

PROGRAM TIME IS CEST (UTC+2) - please take in consideration the Warsaw time zone.

 

E-MRS Fall Meeting - Virtual edition:

The 2021 E-MRS FALL MEETING will be held from from 20th to 23rd September 2021 in a form of virtual conference.

The conference format will be a combination of asynchronous and synchronous modes. The conference papers and posters will be pre-recorded and all authors will be requested to send their recorded presentations by 30 August 2021, using the upload link which will be provided by Nobell. This will help us alleviate the challenges related to time differences between the continents as well as prevent technical issues during the Meeting. The pre-recorded talks will be than played from the videos during a time-slot for a certain session.

Few days before the event all participants will be provided with a link to access the event platform (PINE Tool) in the invitation e-mail sent from PINE. All participants will be asked to set-up an account to access the sessions, providing e-mail address and creating a password.

All sessions (both plenaries and parallel) will be organized using PINE Tool. Plenary speakers and symposiums chairs will be offered a series of training sessions to learn software features

 

Oral presentations:

During the conference each session will be allocated time in the programme for displaying the pre-recorded presentations. This will be followed by the live Q&A and discussion, moderated by session chair. Sessions will be organized using PINE Tool. Speakers will be asked to take active part in their session to address the questions and participate in the discussion. Speakers and symposium chairs will get access to their live session through the speaker hub inside PINE with all sessions they belong to listed there. Please note that it will not be possible to present the presentation live. Technical support will play the relevant videos from the uploaded pre-recorded talks.

 

Poster presentations:

One of the PINE Tool features gives a possibility to arrange a dedicated poster session. A pre-recorded talks over the contributions accepted as posters or posters JPG or PNG will be uploaded to the designated poster session and displayed in this session. Authors will be asked to join poster session and open their poster to answer the questions on text chat, if received.

 

Presentation preparation guidelines (orals and posters)

All authors, whether oral or poster, will be provided with the detailed guidelines on how to prepare the presentation and with the upload link by 31 July 2021 and will be asked to upload the pre-recorded talk (or poster PDF) by 30 August 2021 using the link given in the guidelines file. Nobell will provide all necessary technical support.

Chairpersons instructions:

All chairmen will be responsible for the course of the live session he or she chairs. The session structure would be as follows:

  • brief opening statement describing the session (by the session chair);
  • introducing speakers and presentation videos to follow (by the session chair);
  • display of the pre-recorded oral presentations (by technical host);
  • Q&A and discussion with authors of the contributions accepted to the symposium (moderate by the session chair)

Chairpersons join their session from speakers hub in PINE. Each session will have a designated technical host to take care of the technical issues for the chair to concentrate on the thematic content and control the time, as time discipline is crucial for the on-line meetings. Nobell will set up a series of training sessions for the chairpersons to get more familiar with PINE.

 

Sponsors:

Partners virtual stands will be organized in Partner’s section on PINE. Participants will be able to view the information about the partners, such as videos and brochures provided by the sponsor, clicking on the chosen partner button

 

Manuscripts and proceedings:       

Depending on the symposium, a selection of full length papers will be published as special issues in appropriate journals. Submitted papers will be refereed to journals standards. Instructions to authors will be dispatched together with the notification of acceptance of the abstract.

The decision of which journals shall publish the symposia proceedings will be made jointly by symposium organizers and journal editors. An announcement of these journals will be published on the concerned symposium webpage.

 

Conference language is English.

Registration:

ONE ORAL PRESENTATION = ONE REGISTRATION. Multiple poster presentations are allowed.

IMPORTANT: All participants (including chairpersons, authors, presenting authors, invited speakers, scientific committee members…) must register online (abstract submission and conference registration are separate items and are not linked). Abstract acceptation does not mean registration: each author attending the conference must register separately. Registration starts at the end of the abstract submission period only. If you do not have an E-MRS account, you need to create one before registering to the Fall Meeting.  Online registration must be made by 5 pm. (EST) on August 6, 2021 to be eligible for the early registration fees.

E-MRS is a non-profit organization, no subject to VAT.

 

Cancellation:

In case the E-MRS conference is cancelled, the conference attendees will be entitled to claim the reimbursement of the registration fees.

In order to receive a refund, cancellation requests must be in writing and sent by September 6th, 2021 which will cause a €25 processing fee. No refunds will be issued on requests postmarked after September 6th.
